Choose the competent country
Apply to the country that is the sole destination. If visiting several Schengen countries, apply to the main destination determined by the length or purpose of stay. If no main destination can be identified, the first-entry country generally becomes competent.
Do not create a false hotel booking or artificial itinerary to reach an embassy with earlier appointments. “Visa shopping” can produce refusal or border problems. If the itinerary changes genuinely, retain evidence and be ready to explain it.
Calculate the stay correctly
The short-stay limit is 90 days in any rolling 180-day period, counting across the Schengen Area. Entry and exit days count. A multiple-entry visa allows repeated travel only within both the sticker validity and the remaining day allowance.
The number of entries, validity dates and authorised duration are different fields. Check all three when the passport is returned. A long-validity visa does not permit continuous residence for its entire calendar period.
Build evidence around the purpose
Tourism: provide a credible route, accommodation and activity plan proportionate to the trip. Paid bookings should follow the consulate’s instructions; avoid unnecessary non-refundable purchases.
Family or friend visit: add the host’s identity, address, status and invitation in the format required by the destination. Explain the relationship.
Business: provide invitations, employer letters, event details and who pays. A business visit does not authorise taking ordinary employment.
Medical or cultural purpose: use the category-specific institutional confirmations and financial plan. Generic tourism evidence may not answer the actual purpose.

Show credible finances and return ties
Bank statements should support the cost of the declared trip and show a credible history. If another person funds travel, document the relationship, commitment and source of funds. Avoid temporary transfers that disappear after printing the statement.
Evidence of return is assessed in context: lawful employment or business, study, dependent family, property or tenancy, and previous compliant travel can all be relevant. No single document guarantees approval. Present the real circumstances without creating artificial employment or assets.
Travel medical insurance must meet Schengen requirements for area, period and coverage. Buy from a legitimate provider and ensure names and dates match.
Appointments, biometrics and timing
The European Commission states that applications should generally be lodged no earlier than six months and no later than 15 days before the intended visit, subject to the Visa Code and local appointment reality. Apply earlier than the minimum because appointments and additional checks take time.
Use the embassy or consulate website to identify its authorised external service provider. The provider collects applications and biometrics but does not decide the visa. Appointment resellers have no lawful power to improve the result.
Applicants normally appear for fingerprints unless a valid exemption or reusable biometric record applies. The consulate may still request attendance or additional documents.
After approval or refusal
Check name, passport number, dates, entries and duration immediately. Carry evidence of purpose, accommodation, funds and return travel because a visa does not guarantee admission at the border.
If refused, read the standard form and country-specific appeal instructions. Identify whether the problem was purpose, finance, reliability, insurance, intention to leave or documentation. Reapplying with the same unexplained file is rarely a strategy.
Do not overstay. The 90/180 calculation continues across trips and countries, and an overstay can affect future travel.
Run a final consistency audit
Read the file as if you did not know the applicant. The purpose should be obvious from the invitation or itinerary, employment or business evidence, accommodation and spending plan. Dates on leave approval, flights, hotels and insurance must align. The form should disclose previous refusals and travel accurately.
Check every name and passport number, including sponsor and host documents. Confirm that reservations can be verified and that invitation contacts expect possible verification. Translate documents according to the consulate’s instructions rather than assuming English is accepted.
Then remove material that creates confusion without answering a requirement. Hundreds of chat screenshots or unrelated property documents can hide the relevant evidence. Use a simple index and short cover explanation where the trip has multiple cities, a sponsor or an unusual funding arrangement.
Finally, compare the complete file with the latest checklist from the competent consulate. Application centres can update logistics, but the embassy or consular authority remains the source for jurisdiction and substantive requirements.
Keep a digital copy of the exact submission and appointment receipt. If the consulate requests another document, answer through the authorised channel and preserve proof of delivery. Never send additional identity or banking material to a caller whose connection to the application cannot be independently verified.
At the border, answer questions consistently with the submitted itinerary and carry accessible copies of essential evidence. If plans changed after issuance, document the genuine reason rather than improvising a different purpose. Border officers can assess entry conditions even when the visa sticker is valid.
